The Pool and Operations Manager is responsible for overseeing the daily execution of indoor/outdoor pool, facility operations, and service delivery to guarantee an exceptional Member experience. This role requires duty manager shifts, manages staff rotas, and enforces strict health, safety, and regulatory compliance across all wet and dry-side areas. Ultimately, the position drives service excellence by maintaining pristine presentation standards, updating standard operating procedures, and fostering a safe, welcoming environment for all Members and guests.

Key Areas of Operation Activity

  • To play a key role in the Duty Management team covering shifts on a rotational basis, ensuring both the quality of the building presentation and member service is provided at all times
  • Work with the Programme manager to develop and implement an innovative activity programme to cover, junior, teen and adult members. This must include weekends, school holidays and after school.
  • Key player in the preparation and delivery of the Club’s Junior activities, social and events calendar, working closely with the Programme Manager.
  • To review and report on all holiday/term time activities and junior events, ensuring their financial viability and suitability for the membership.
  • Actively seek ways of including all children up to the age of 15 years into the junior programme of events, who currently do not participate in either golf or tennis.
  • Ensure all legal requirements are met especially in relation to Health and Safety, working closely with the Deputy Club Manager in delivering a safe and secure facility.
  • Work with our partners, freelancers in implementing into any specialist term time or holiday programme for services that cannot be provided internally.
  • Ensure operational systems and procedures are created and delivered in line with company standards resulting in the provision of service excellence to all members and guests.
  • Monitor the facility presentation liaising with support services; Housekeeping and Facilities, ensuring corrective action is taken where necessary.
  • Develop and maintain S.O.P and ensure changes are clearly communicated and staff suitably trained.
  • Manage and maintain and inventory of sports, dry side equipment & facilities by ensuring daily & weekly checks are completed & recorded, annual external inspections are maintained if required.
  • Dry Side Risk Assessments are regularly revied & updated.
  • Executes additional ad-hoc tasks to meet the business objectives of the department as directed by the Programme Manager

Key Areas of Pool Operation Activity

  • To oversee the daily running of the Pool Hall facilities, Outdoor Pool operation and the Creche facility to the satisfaction of members and guests.
  • Work closely with both the Tennis and Health Club Manager and all appropriate HOD’s to ensure a robust calendar of activities and events for the Clubs Junior Members
  • To line Manage both the lifeguards and Junior teams ensuring all staff related aspects support the development of effective, motivated staff in both the Creche and Pool operational teams.
  • To recruit suitably qualified staff ensuring adequate levels of cover are in place all year round, for the Indoor and Outdoor Pools.
  • Forecast & control the staff budgets for the pool departments.
  • To assist in the preparation and delivery of the Clubs social events calendar.
  • To deliver FAAW, FAAW Refresher, Manual Handling, Emergency Responder courses as required by the Club alongside monthly FAAW training as part of the annual programme. To hold a National Trainer Assessor Award, co-ordinate and delivery of Lifeguard and Duty Manager Staff training programme. To maintain up to date and recognised leisure qualification (BTEC/Diploma or equivalent) plus PPO/NPLQ and a First Aid at Work Qualification
  • To act as a Duty Manager on a rotational basis involving the ability to react effectively to any operational or member related tasks, ensuring swift resolution as necessary.
  • To ensure all operational systems and procedures are followed in line with Company standards resulting in the provision of service excellence to all members and guests.
  • To monitor the facility presentation liaising with support services; Housekeeping and facilities, ensuring corrective action is taken where necessary.
  • To ensure that all legal and Health and Safety standards comply with company and statutory requirements especially focusing on Health and Safety in Swimming Pools, OFSTEAD guidelines and safeguarding of young people.
  • Ensure wet side SOP’s are monitored and reviewed and action changes when and where required.
  • Ensure all Swimming Pools related Risk Assessments are monitored and reviewed, including ensuring adequate levels of suitable PPE are maintained to the highest standards.

Key Knowledge, Skills & Experience

  • At least 2 years’ experience working in a similar role.
  • Have an in-depth knowledge of Sport and Activity development & implementation.
  • At least 2 years Supervisory experience.
  • Must be able to demonstrate strong organisational & planning skills.
  • Must be able to demonstrate strong communication skills, verbally & written.
  • Must be proficient in Excel & Word.
  • Experienced working on Leisure or Hospitality booking systems such as Gladstone, Legend or JAM (desirable).
  • Have strong customer service skills, previous experience in a 5 Star environment (desirable).
