The Doyle Collection is seeking a highly organised and proactive Executive Assistant to provide dedicated support to our Chief Commercial Officer (CCO), alongside two senior leaders within the Marketing function. This is a pivotal role at the heart of the Commercial team, requiring a confident, detail-oriented individual who can seamlessly manage senior stakeholder support, coordinate complex schedules, and ensure the smooth running of key commercial activities across our luxury hotel portfolio. The successful candidate will play a critical role in enabling the effectiveness of the Commercial leadership team through first-class administrative support, organisation, and communication.

Key Responsibilities

  • Provide comprehensive Executive Assistant support to the CCO and two Senior Marketing Managers, including diary management, inbox management, and prioritisation of key activities
  • Manage and co-ordinate complex calendars, scheduling meetings across multiple time zones and stakeholders
  • Prepare agendas, board packs, presentations, and documentation for senior-level meetings, ensuring accuracy and high presentation standards
  • Act as a key point of contact, managing communications on behalf of the CCO and ensuring timely responses and follow-ups
  • Support the preparation of board-level, leadership, and commercial reports, ensuring data is accurate, clear, and insightful
  • Co-ordinate cross-property communication to ensure alignment across all Doyle Collection hotels
  • Track actions, projects, and deadlines across Sales, Marketing, and Revenue teams, ensuring accountability and timely delivery
  • Organise and support internal and external meetings, events, conferences, and workshops
  • Arrange travel, accommodation, and itineraries for the CCO and marketing leaders, including expense management
  • Maintain and manage commercial documentation, contracts, and internal systems in line with company policies
  • Liaise with internal departments and external partners to support collaboration and project delivery
  • Monitor key commercial initiatives, proactively escalating risks, delays, or dependencies
  • Provide support on presentations, partnership proposals, and marketing materials where required

Skills & Qualifications

  • Previous experience in an Executive Assistant or senior administrative role, ideally supporting executive-level stakeholders
  • Exceptional organisational skills with the ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail with a proactive, solutions-focused approach
  • Experience in Microsoft Office, particularly Excel and PowerPoint
